We are looking for a part-time Executive Administrator to help us with the day-to-day operations of the business and to help us manage our growth. The ideal candidate for this role will be a Force Multiplier for the executive team.


This is a part-time position with flexible hours that could potentially be a remote or a mostly work-from-home situation after a period of getting up to speed and learning everybody’s strengths and weaknesses.

Your responsibilities

The purpose of the Executive Admin is to manage day-to-day operations of eightninety and support the work of the Executive team. This role includes administrative, project management, client support, accounts payable/receivable, contract management, and other assigned tasks to accomplish this goal. Responsibilities include, but are not limited to:

Executive Assistant

  • Support the Executive team and office teammates, as needed.
  • Possible personal assistant tasks for the Executive team of the business.
  • Manage scheduling and filter communication for the Executive team.

Administrative Duties

  • Document creation (proposals, statements of work, contracts) in Pages, Numbers, Keynote (or possible Windows alternatives)
  • Errand running
  • Maintain office inventory
  • Marketing Administration (posting content on web, social media, etc)
  • Bookkeeping (accounts payable and receivable)

Project Management

  • Help projects stay on time and on task by managing client and team members
  • Provide regular updates to team and clients about progress
  • Manage scheduling, logistics, vendors, and partners
  • Participate during client meetings to help document and communicate next steps to team and clients.

Client Support

  • Interact with clients on a regular basis via email, telephone, video chat sessions, or in-person meetings as needed for positive client engagement.
  • Handle client support requests (website updates, timeline updates, marketing help, etc) as needed, or direct client requests to the appropriate resource for help.

Desired skills

  • Apple iWork, Microsoft Office, Google GSuite, Dropbox Paper, or similar tool set
  • Experience managing a calendar
  • Experience managing client service relationships
  • Experience managing a team environment
  • Ability to work independently and with minimal supervision
  • Ability to plan ahead, organize a team, and stay ahead of schedule
  • Familiarity with social media marketing from a business standpoint
  • Familiarity with posting content to websites via Content Management Systems

The details


$18-20 per hour, depending on experience. Work-from-home opportunities can be discussed after quarterly review. Estimated weekly needs to start are 10-15 hours per week. Possibility for more hours or full-time employment if we find the right fit for the position.
